AI receptionist
Like a full-time employee at the phone, except it is there around the clock: it answers calls and SMS messages, replies to customers’ questions and books visits. You see every case and can step into the conversation whenever you want.

What it does
- Answers questions
- Based on the profile of your company: services, opening hours, region and common questions (for example parking or card payment). What it does not know, it does not guess.
- Books visits
- Offers only free slots from your schedule. A visit counts as booked only once the system has saved it, and a taken slot cannot be booked twice.
- Changes and cancels
- When a customer asks to cancel, the receptionist first asks for confirmation. Only then does it cancel the visit.
- Sends reminders
- Before the visit (by default a day earlier) it sends an SMS reminder. The customer can reply to change the time.
- Speaks the customer’s language
- Replies in the language the customer writes or speaks. You get a summary in your language.
- Flags what matters
- Complaints, disputes and requests to speak to a person reach you right away. In case of danger the customer is told to call 112 (or the local emergency number).
SMS and phone
SMS
The customer texts your company number. The first reply says that an AI assistant is writing. Then the receptionist has a normal conversation: asks about the service, offers slots, asks for the name and sends a confirmation.
Phone
The receptionist picks up, says at the start that it is an AI assistant and that the call is converted to text. Before saving a visit it repeats the time and asks for confirmation, because speech recognition can be wrong. It sends the confirmation by SMS.
Handing over to a person
If the customer asks, during your opening hours, the call can be transferred to a number you give us. Outside those hours the receptionist reports the matter to your company.
What you get
- An alert for every new visit, change and cancellation, with a file to add to your calendar (Google, Apple, Outlook).
- A “Take over the conversation” button. From that moment the assistant stays silent and the customer gets one message that a member of your staff is now writing.
- A “Cancel visit” button: the customer gets an SMS with an apology and a request to choose a new time.
- A short summary of the conversation in your language once the customer stops writing.
- Control: the Agent OS layer enforces the rules and cost limits and keeps a log, and the kill switch stops everything.
What the receptionist does not do
- It does not give prices, quotes, discounts, delivery times or guarantees. A member of your staff settles the details.
- It does not invent time slots or facts about your company.
- It does not pretend to be a human and always says it is an AI assistant.
- It does not settle complaints, disputes, or legal or health matters. It passes them to you.
- After the reply “STOP” it stops sending SMS messages to that number.
- It can make mistakes, especially on the phone, where speech recognition can be wrong. That is why it asks for confirmation before saving a visit.
Where this stands today
We have built the receptionist and tested it on simulated conversations: the calendar, SMS, phone calls, taking over a conversation and reminders. It does not yet work with a real phone number of any company.
To go live you need a number and an account with an SMS and telephony provider (for example Twilio or SMSAPI). Connection costs depend on the provider and are not included in the pricing. We agree the price and scope of the receptionist in the pilot, starting carefully with short tests with your team.
Phone numbers and the content of conversations go to the telephony provider and to the AI model (we mask the name, number and e-mail before the model). Before the start we update the privacy policy and the data processing agreement to include the provider.
